Timesheets

Track time and resources online

Overview

As a professional organisation, having an effective management process over the planning and utilisation of your most valuable resources is paramount. Dimensions provides the efficient input to this process through the Timesheets module. Being web-based, this functionality enables your people to capture time-based data anywhere in the world, on the move or at project sites.

Benefits

• Easy and accurate – you can allocate pre-populated project codes to each timesheet, so making it easy for the user to enter the correct information and direct it to the right project

 • Flexible – entering data through the internet provides up-to-date information at all times

 • Built-in safety controls – timesheets can be approved at multiple levels within the web portal before they impinge on the accounts for processing

 • Efficient and fast approvals - integrated alerts inform approvers when timesheets are ready to approve the moment they are submitted

 • Prompt payment increased - integration with payroll means that timesheet data is sent for processing in preparation for automated salary calculations

 • Visibility of your costs – all approved timesheet data updates project costing automatically for instant information on the cost of each project, so that you can choose to take action should the job be taking more resources than planned

 • Easy-to-use – the module is designed with a simple and intuitive interface with the occasional user in mind

Resource Allocation

Using the allocation features, time recording can be configured to control, restrict and monitor which projects and tasks resources can book their time to. Rules are easy to define and set up in the system and can be implemented within the data capture process to either streamline the data entry process, or enforce the type and/or quantity of hours booked by an individual. This helps both the organisation and the end user in making the process both fast and accurate.

Authorisation

Within the time recording module, authorisations can be set up in a number of ways. For smaller organisations, where authorisation is not required, this can be bypassed. Alternatively, methods such as departmental approval or project-oriented approval can be set up, either independently or in combination. Using the alert functionality, approvers can be informed in real-time when authorisations are required, via email or SMS. A one-button click from the email will take the approver straight to the specific timesheet for a quick and effective decision to be made.
